1. Who We Are
This website is operated by JQSWEE TRADING, a confectionery and snack trading desk registered in Singapore. The desk is run day to day by its developer and systems designer, JQSwee Tradings, who built the ordering and stock records used to pack and ship every consignment. The registered trading address is 27 Anchorvale Crescent #10-34 Bellewaters, Singapore - 544657, Singapore (SG).
JQSWEE TRADING buys sealed sweet tins, festive hamper items and pantry staples, repacks them into resale lots and ships them to buyers such as small grocers, offices, cafes, event teams and corporate clients. This policy explains what personal information we collect when you visit this website, send an enquiry or place an order, why we hold that information, and what choices you have.

References in this policy to we, us and our mean JQSWEE TRADING. References to you and your mean the person visiting this website or corresponding with the desk. Where a buyer is a company rather than an individual, the buyer still has obligations to make sure that any personal information it passes to us is shared lawfully, and we rely on that assurance when we process contact names, delivery addresses and invoice details.
2. Scope of This Policy
This policy applies to personal information collected through this website, through email and telephone contact with the desk, and through the packing and delivery of orders. It does not apply to websites operated by other parties, including payment processors, courier tracking portals or social media pages that we might link to for convenience. Those services publish their own privacy notices, and we encourage you to read them before sharing information with them.
We do not operate a retail storefront on this website and we do not accept card details through the contact form. The form prepares a message in your own email application. Where an order is placed, the commercial details are typically exchanged by email and invoiced separately, so the information we hold about a transaction is limited to what is needed to quote, pack, ship and account for it.
3. Information We Collect
We collect personal information in categories that reflect the way the desk actually works. The first category is identity and contact information: your name, business name, email address, telephone number and any delivery address you give us. The second category is order information: the items, quantities, carton counts, delivery dates, purchase order references and special packing instructions attached to an order.
The third category is correspondence: the content of emails, form messages, telephone notes and any attachments such as delivery lists or artwork briefs. The fourth category is invoice and payment reference information, such as the invoice number, the payment method chosen and any remittance reference. We do not store full card numbers on our own systems, because card payments are handled by the payment provider you choose.
The fifth category is technical information generated when you browse this website, such as the pages viewed, the approximate location derived from an internet address, the type of device and browser, and the date and time of a visit. The sixth category is subscription information, where you have set up a resupply subscription: the standing lot, the delivery day, the invoice reference and any changes you have requested.
- Identity and contact details for buyers and recipients
- Order contents, carton counts and delivery instructions
- Email and telephone correspondence, including attachments
- Invoice numbers, payment method and remittance references
- Technical browsing data such as pages viewed and device type
- Subscription settings, delivery days and change history
4. How We Collect Information
Most information reaches us directly from you. You give it to us when you complete the contact form, send an email to the orders inbox, call the desk, confirm a quotation, provide a delivery list for a corporate gift run, or request a change to a subscription. In each case you decide what to share, and you can keep the minimum by giving only the details needed for the order to be processed correctly.
Some information is created by us as part of the order record. When a quotation is issued, a packing ticket is printed, a carton is labelled or an invoice is raised, that activity adds to the record attached to your account. This is routine bookkeeping rather than covert monitoring, and it exists so that a delivery can be traced and a dispute can be resolved from facts rather than recollection.
A small amount of technical information is collected automatically when your browser requests a page from this website. This is the normal behaviour of web servers and is covered in more detail in the sections on cookies and analytics below. We do not buy personal information from data brokers, and we do not build profiles of visitors across unrelated websites.
5. Why We Use Information
We use personal information to answer enquiries, prepare quotations, confirm orders, pack and ship consignments, raise invoices, manage resupply subscriptions, handle delivery problems and keep business records. We also use it to send occasional service messages, such as notice that a festive hamper window is closing or that a seasonal landing date has shifted, where those messages are relevant to a buyer who has already asked about that line.
We use technical information to keep the website working, to understand which pages are useful to visitors, to detect abusive traffic and to fix faults. We use order history to forecast stock depth so that a recurring buyer is not left with an empty shelf, and to check that a quotation can still be filled from the packing room before it is accepted.
We do not sell personal information, and we do not rent contact lists to other businesses. We do not use buyer information to make automated decisions that produce legal effects, and we do not use the content of enquiries for unrelated marketing. If we ever wish to use information for a purpose that is materially different from the ones described here, we will explain the new purpose first and, where the law requires it, ask for consent.
6. Legal Basis for Processing
Under Singapore data protection law, and where applicable under other laws that reach our buyers, we process personal information on the basis that it is needed to perform a contract, to take steps at your request before entering a contract, to comply with a legal obligation, or to pursue a legitimate business interest that does not override your rights. Consent is used where we send marketing messages to a person who has not previously bought from the desk.
Performance of a contract covers the core of our work: preparing a quote, packing goods, arranging delivery and invoicing. Legal obligation covers tax, accounting and record keeping duties, and any response to a lawful request from a public authority. Legitimate interest covers answering an initial enquiry, keeping the website secure, preventing fraud and improving the clarity of our service pages.
Where consent is the basis, you can withdraw it at any time by writing to orders@jqsweetrading.buzz. Withdrawal does not affect processing carried out before the withdrawal, and it does not affect processing that relies on another legal basis, such as the need to complete an order you have already placed.
7. Order Records and Packing Lists
An order record is more than an invoice. It contains the quotation, the confirmed items, the carton count, the packing tickets, the labels, the packing list and the delivery reference. It may also contain the name of a recipient at a client site, a floor or unit number, and instructions such as a loading dock access window. We keep these details because they are the only reliable way to prove what was sent and where it went.
Packing lists for corporate gift runs can include recipient names and office locations supplied by the client. We treat that list as confidential, use it only to label and deliver the boxes, and do not add those names to any marketing list. If a client asks us to destroy a delivery list after the run, we do so once the invoice and any dispute window have closed, unless a legal obligation requires us to keep a record of the transaction.
8. Payment and Invoice Information
Payment for orders is arranged by invoice or through a payment provider chosen at the time of the transaction. We hold the invoice number, the amount, the date, the payment status and any remittance reference so that accounts can be reconciled. We do not store full card numbers, security codes or banking passwords on our systems, and we do not ask for them by email.
Where a payment provider processes a card transaction, that provider is a separate controller of the payment data it collects and is responsible for its own security arrangements. We receive only a confirmation and a reference from that provider. If you believe you have received a suspicious message asking for payment details in our name, please contact the desk directly using the email address and telephone number published on this website before responding.
10. Website Analytics
We may review aggregate statistics about visits to this website, such as the number of visits to the services page or the proportion of visitors using a mobile device. These statistics help us decide which pages need clearer text or a better layout. Where possible the data is aggregated before it reaches us, so that it does not identify an individual visitor.
We do not attempt to link analytics data to an order record. If you contact us after browsing, the order correspondence is handled separately from the visit statistics. This separation is deliberate: the purpose of the analytics is to improve the website, not to profile the person reading it.
12. Delivery and Courier Partners
Delivery partners receive the recipient name, the delivery address, the contact telephone number and the carton count for each consignment. They may also receive a delivery window and any access instruction, such as a loading bay booking or a reception desk note. This is the minimum needed for a parcel to arrive at the right door, and it is limited to the consignment being carried.
Couriers often provide tracking information and proof of delivery, which may include a signature or a photograph of the parcel at the door. That proof is retained with the order record so that a delivery can be confirmed if a buyer later reports a missing carton. Where a courier operates its own tracking portal, the information shown there is controlled by that courier under its own privacy notice.
13. International Transfers
Most of our processing takes place in Singapore. Some service providers, such as email hosting, payment processing or courier tracking systems, may store data in another country. Where information is transferred outside Singapore, we take reasonable steps to ensure that it remains protected to a standard comparable to the protection required here, for example by relying on contractual terms with the provider or on a recognised adequacy arrangement.
If you are located outside Singapore and send us an enquiry, your information will be processed in Singapore and possibly in the country where a service provider operates. By corresponding with the desk you understand that this transfer is necessary for us to answer your enquiry and to fulfil any order that follows.
14. How Long We Keep Information
We keep order and invoice records for as long as accounting and tax rules require, which is normally at least five years after the end of the financial year in which the transaction took place. Quotations that do not become orders are kept for a shorter period, usually twelve months, so that a buyer who returns to the same quotation can be served quickly without us holding an indefinite archive.
Enquiries that do not lead to an order are kept for up to twenty four months and then deleted unless there is an ongoing conversation or a legal reason to keep them. Delivery lists supplied for a corporate gift run are kept until the invoice and dispute window have closed, and are then destroyed unless the client has asked for them to be returned. Technical logs are kept for a short period, typically ninety days, and are then discarded or aggregated.
When information is no longer needed, we delete it or anonymise it so that it can no longer be linked to an individual. Backup copies may persist for a limited period after deletion, after which they are overwritten in the normal course of backup rotation.
15. How We Protect Information
We use access controls, encrypted connections on this website, separate accounts for staff and contractors, and routine backups to protect the information we hold. Access to order records is limited to the people who need it to quote, pack, ship or invoice. The packing room keeps printed tickets and packing lists in a controlled area, and printed lists are shredded once they are no longer needed.
No system is completely secure. If we become aware of a breach that affects personal information, we will investigate promptly, take steps to contain it, and notify affected individuals and the relevant authority where the law requires it. If you suspect that your information has been compromised, please contact the desk immediately using the email address or telephone number published on this website.
16. Your Rights
Depending on where you live, you may have the right to ask for a copy of the personal information we hold about you, to ask us to correct anything that is inaccurate, to ask us to delete information that is no longer needed, to object to certain processing, or to ask for a restriction on how information is used. You may also have the right to receive certain information in a portable format.
To exercise any of these rights, write to orders@jqsweetrading.buzz with enough detail for us to locate your record, such as the email address used for the order and the approximate date. We will respond within the period required by applicable law, normally within thirty days. We may need to confirm your identity before releasing information, and we may decline a request where the law allows us to, for example where releasing information would reveal another person personal information or where we are required to keep a record for tax purposes.
There is no charge for a reasonable request. If a request is manifestly unfounded or repetitive, we may explain why we are unable to proceed and, where the law permits, charge a reasonable administrative fee.
17. Privacy for Children
This website and the trading desk are intended for businesses and adults. We do not knowingly collect personal information from children under the age of thirteen, and we do not direct marketing to children. If you believe that a child has provided personal information to us, please contact the desk and we will delete the information as soon as we can confirm the situation.
Corporate gift runs sometimes include recipient names supplied by a client, and those names may occasionally include a family member or a young person receiving a gift. In such cases the client is responsible for ensuring that it has a lawful basis to share those names, and we use them only for labelling and delivery.
18. Marketing Preferences
We send service messages to buyers who have already asked about a product line, such as a reminder that the festive hamper window is open or that a seasonal import is about to close. These messages are closely tied to the enquiry that prompted them. We do not send general marketing to someone who has never contacted the desk unless that person has given consent.
You can ask to stop receiving service messages at any time by replying to the message or writing to orders@jqsweetrading.buzz. We will action the request promptly and keep a short record of the preference so that the messages do not resume by accident. Opting out of marketing does not affect transaction messages, such as an invoice or a delivery notice for an order you have placed.
19. Third Party Links
This website may link to the websites of suppliers, couriers or payment providers. Those websites are not controlled by JQSWEE TRADING, and their privacy practices may differ from ours. We provide the links for convenience and do not endorse the privacy practices of any linked site. You should read the privacy notice of any website before submitting personal information to it.
20. Automated Decisions
We do not make automated decisions that have a legal or similarly significant effect on you. Stock depth checks, quotation calculations and packing tickets are generated by the systems that support the desk, but a person reviews any decision that affects a buyer, such as refusing an order, substituting a line or declining a credit term. If we ever introduce automated decision making that produces legal effects, we will update this policy and provide a way to request human review.
21. Changes to This Policy
We may update this policy from time to time to reflect changes in the way the desk works or in the law that applies to it. When we make a material change, we will update the date at the top of this page and, where appropriate, tell buyers who have an active subscription or a recent order. The version published on this page is the current version.
We encourage you to review this page occasionally. If you continue to use the website or place orders after a change takes effect, you accept the updated policy in respect of information collected after that date.
22. Questions and Complaints
If you have a question about this policy, want to exercise a right, or wish to make a complaint about how personal information has been handled, please contact the desk in writing. We take complaints seriously and will investigate promptly.

If you are not satisfied with our response, you may have the right to complain to the data protection authority in your country or region. In Singapore, that authority is the Personal Data Protection Commission. We would appreciate the chance to resolve the matter with you first.
This policy should be read together with our Terms of Service, which explain the commercial terms on which orders are accepted, packed and delivered. Neither document changes any right that you have under mandatory law.
